Position Summary

As the backbone of the fellowship program, the Fellowship Coordinator ensures  smooth and impactful delivery of an innovative, tech-enabled fellowship experience that supports the  holistic development of youth. 

Job Responsibilities

1. Program Planning and Coordination 

  • Design and implement the overall fellowship activity calendar, including timelines for  recruitment, onboarding, learning sessions, and final presentations. 
  • Coordinate with internal teams and external partners to ensure that all activities align with the  fellowship’s goals and thematic areas. 
  • Maintain program documentation, schedules, and reports to ensure smooth operational execution.

2. Recruitment, Onboarding, and Engagement 

  • Lead outreach efforts to attract high-potential fellows through digital campaigns, partnerships,  and community engagement. 
  • Manage application screening, interviews, and selection processes in coordination with the  selection committee. 
  • Facilitate comprehensive onboarding sessions that familiarize fellows with the program structure,  expectations, and support systems. 
  • Maintain continuous communication and engagement with fellows to foster motivation,  accountability, and a sense of community. 

3. Stakeholder Liaison and Support 

  • Act as a central point of contact for fellows, mentors, trainers, and partner organizations.
  • Ensure timely coordination with mentors and trainers for scheduled sessions and feedback loops. 
  • Create an inclusive and supportive learning environment through regular check-ins, feedback  collection, and issue resolution. 

4. Learning Experience and Event Management 

  • Plan and facilitate fellowship events such as workshops, webinars, field visits, and networking  sessions aligned with the program’s experiential and personalized learning model. 
  • Collaborate with experts and facilitators to design engaging content and interactive learning  experiences.
  • Ensure all logistics, communications, and resources for events are well-managed and delivered  on time. 

5. Monitoring, Evaluation, and Reporting 

  • Track fellows’ individual progress through structured evaluation tools, reflection exercises, and  mentor feedback. 
  • Maintain detailed records of participation, milestones, deliverables, and learning outcomes.
  • Generate periodic progress reports and contribute to end-of-cycle evaluations and donor reports.

6. Technology Integration 

  • Support the implementation and use of digital platforms (LMS, communication tools, databases)  to enhance the learning and coordination experience. 
  • Troubleshoot technical issues and liaise with IT support as needed to ensure smooth digital  delivery. 

7. Risk Mitigation and Incident Management 

  • Monitor fellow wellbeing and group dynamics, identifying early signs of stress, disengagement,  or conflict. 
  • Proactively mitigate risks related to program continuity, including logistic delays, natural  disruptions, or online security concerns. 
  • Act as the first responder for managing sensitive incidents such as participant distress,  interpersonal conflict, or violations of community standards. 

8. Safeguarding and Referral Coordination 

  • Ensure all fellows and stakeholders are aware of and adhere to the program’s safeguarding  policies. 
  • Work in coordination with safeguarding officers, counselors, and relevant authorities in cases of  any reported incidents. 
  • Maintain confidentiality and ethical standards while supporting appropriate and timely  resolutions.

Qualifications & Experience

  • Master’s degree in Social Sciences, Education, Development Studies, or related fields.
  • 5-7 years of experience in managing youth development programs or fellowships.
  • Experience with technology-enabled learning platforms is a plus. 

Skills & Competencies

  • Strong project management and communication skills. 
  • Passion for youth empowerment and personalized learning. 
  • Tech-savvy, familiar with virtual collaboration tools (Zoom, Google Workspace, Trello, etc.).
  • Ability to build relationships and engage diverse youth populations. 
  • Commitment to fostering inclusive, equitable learning environments. 
  • Strong problem-solving and decision-making abilities under pressure. 
  • Conflict resolution and mediation skills.
